Privacy Policy
This Privacy Policy explains how SynergyCore LLC, doing business as SynergyCore Technologies ("SynergyCore", "we", "us", or "our"), collects, uses, shares and protects personal information when you visit synergycore.software or synergycore.ai (the "Site"), fill out one of our forms, email us, or when information about you reaches us through our lead-capture API and the integrations that use it (for example, a custom GPT assistant).
The short version
- We collect what you type into our forms and basic, first-party analytics about how the Site is used.
- We use it to reply to you, run our waitlist and beta programs, send occasional product updates (you can unsubscribe anytime), and improve the Site.
- We do not sell your personal information, do not share it for cross-context behavioral advertising, and do not use third-party advertising trackers.
- You can ask us to access, correct or delete your information at hello@synergycore.software, and you can opt out of Site analytics with one click.
1. Scope
This policy covers the Site, its forms, our email correspondence and our lead-capture API. It does not cover data that our business customers store in Synergy ERP or our other products. That data is handled under the customer's agreement with us, and we process it on the customer's behalf. If you are an employee or client of one of our customers, please contact that customer about their data practices.
2. Information we collect
Information you give us
- Contact form: your name, email address, the subject and product or service you ask about, and your message.
- Synergy ERP waitlist, beta and onboarding forms: your name, email address, company name, phone number (optional), and details you share about your organization.
- Job applications (only when we have open roles): your name, contact details, resume and anything else you choose to include.
- Emails and other messages you send us, and their contents.
Please do not send us sensitive information such as government ID numbers, financial account or payment card numbers, health information, or precise geolocation. We do not ask for it and do not intend to collect it through the Site.
Information collected automatically
When you browse the Site, our own servers record the pages you visit and in what order, how long you stay on them, the links you click, the address of the site that referred you and any campaign tags in the link, your approximate location and network (derived from your IP address), and your device type, browser and language. See Cookies and analytics.
Information from other sources
Our team and authorized integrations (such as a custom GPT assistant connected to our lead-capture API) may create records about businesses and their contacts that we may want to work with. These records can include a business or contact name, website and map or location links, business phone numbers, lead source, pipeline status and score, meeting and last-contacted dates, and notes. This information generally comes from public business listings, the business's own website, or our direct conversations.
3. Cookies and analytics
We measure Site usage with our own first-party analytics tool, which runs on our servers. No advertising networks or third-party analytics companies receive this data. If you submit a form, the name, email and phone number you type are linked to your browsing history on the Site so we can follow up in context.

Opting out. You can turn off Site analytics at any time by visiting
synergycore.software/api/tiller/optout.
This sets the tiller_optout cookie and clears the visitor identifiers, and
nothing is recorded while it is in place. To turn analytics back on, visit
this link. You can also block
or delete cookies in your browser settings. The Site still works without them.
4. How we use information
We use personal information to:
- respond to your questions and requests, and provide the information or services you ask for;
- run our Synergy ERP waitlist, beta and onboarding programs, including contacting you about your application;
- review job applications when we have open roles;
- manage prospect and client relationships in our internal CRM and sales pipeline;
- send product updates and announcements (see Email updates);
- understand how the Site is used, fix problems, and improve our content and products;
- protect the Site, our business and our users against fraud, spam, abuse and security incidents; and
- comply with law, enforce our Terms of Use, and establish or defend legal claims.
We do not use your information to make decisions that produce legal or similarly significant effects about you based solely on automated processing.
5. Email updates
If you contact us or join our waitlist or beta, we may send you occasional emails about SynergyCore products, features and events. Every marketing email includes an unsubscribe link, and you can also opt out by emailing hello@synergycore.software. We honor opt-out requests within 10 business days. Even after you opt out, we may still send messages about a request you made or an account or application you have with us. We do not send marketing text messages.
6. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral (targeted) advertising. We have not done so in the past 12 months. We disclose personal information only:
- To service providers who process it on our behalf under contracts that limit how they use it. These include cloud hosting and infrastructure providers, Amazon Web Services (email delivery), and Notion (our internal workspace and CRM).
- To authorized integrations that we operate, such as our lead-capture assistant, which access our API with a secret key.
- For legal reasons: when required by law, subpoena or court order, or when we believe disclosure is needed to protect the rights, property or safety of SynergyCore, our users or others.
- In a business transaction, such as a merger, acquisition, financing or sale of assets. The receiving party would be bound by this policy for the information it receives.
- With your consent or at your direction.
7. Third-party content and links
Some pages include content served by other companies, which receive your IP address and browser information when the page loads and may set their own cookies under their own privacy policies:
- Vimeo hosts product videos embedded on some product pages.
- Our website-building platform loads a script from
cdn.gpteng.co.
The Site also links to other websites, such as LinkedIn. We are not responsible for the privacy practices of websites or services we do not control.
8. Data retention
- Form submissions, emails and lead records: kept while we are actively in touch with you or your business, and deleted or anonymized no later than three years after our last interaction, unless we need them longer to meet a legal obligation or resolve a dispute.
- Job applications: kept for up to two years after the hiring decision, unless you ask us to delete them sooner where the law allows.
- Analytics: full IP addresses are kept for 90 days; visit records are kept for two years.
- Unsubscribe and opt-out records are kept as long as needed to honor your choice.
9. Your rights and choices
Wherever you live, you can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct information that is inaccurate;
- delete your information;
- stop sending you marketing emails; and
- stop recording analytics for your browser (use the opt-out link).
Email hello@synergycore.software with the subject "Privacy request". We will verify your request by matching information you provide with what we hold, for example by confirming access to the email address you submitted. You may use an authorized agent; we may ask the agent for proof of your signed permission and ask you to confirm your identity directly. We respond within 45 days, or sooner where the law requires, and will tell you if we need more time. We will not discriminate against you for exercising any of these rights.
10. U.S. state privacy rights
Residents of California, Colorado, Connecticut, Delaware, Iowa, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Texas, Utah, Virginia and other states with comprehensive privacy laws may have the rights described above, plus the right to opt out of the sale of personal information, targeted advertising, and profiling that has legal or similarly significant effects. Because we do not sell personal information, do not engage in targeted advertising, and do not carry out that kind of profiling, there is nothing to opt out of. You may still contact us with any request.
Appeals. If we decline your request, you can appeal by replying to our decision or emailing hello@synergycore.software with the subject "Privacy appeal". We will respond to your appeal in writing within 60 days (45 days in some states). If you are not satisfied, you may contact your state Attorney General.
California disclosures
In the past 12 months we have collected the following categories of personal information, as defined by the California Consumer Privacy Act:
| Category | Examples | Sources | Disclosed for a business purpose to |
|---|---|---|---|
| Identifiers | Name, email, phone, IP address, cookie IDs | You; your browser; our team and integrations | Hosting, email and CRM service providers |
| Professional or employment information | Company, role, organization details; job application contents | You; public business listings | Hosting and CRM service providers |
| Internet or network activity | Pages viewed, referrer, clicks, device and browser | Your browser | Hosting service providers |
| Approximate geolocation | City or region derived from IP address | Your browser | Hosting service providers |
| Inferences | Lead score and pipeline status | Our team and integrations | CRM service provider |
We use these categories for the purposes in How we use information and keep them for the periods in Data retention. We do not collect sensitive personal information for the purpose of inferring characteristics about you. We do not disclose personal information to third parties for their own direct marketing purposes (California "Shine the Light" law).
11. Visitors from the EEA, UK and Switzerland
SynergyCore LLC is the controller of the personal information described in this policy. We rely on these legal bases: performance of a contract or steps you asked us to take before entering one (replying to your request, processing your waitlist, beta or job application); legitimate interests (running and securing the Site, understanding how it is used, managing business relationships, and sending business-to-business updates, balanced against your rights); consent where the law requires it, which you can withdraw at any time; and legal obligations.
In addition to the rights above, you may object to or ask us to restrict certain processing, and ask for your data in a portable format. You also have the right to lodge a complaint with your local data protection authority.
12. Do Not Track and Global Privacy Control
There is no common industry standard for "Do Not Track" browser signals, and the Site does not change its behavior when it receives one. We do not sell or share personal information for targeted advertising, so a Global Privacy Control signal does not change how we handle your data. To stop Site analytics, use the opt-out link.
13. Children
The Site is intended for businesses and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.
14. Where we process data
We are based in the United States, and our service providers store and process information in the United States and other countries. If you access the Site from outside the U.S., your information will be transferred to and processed in the U.S., where data protection laws may differ from those in your country. Where required, we rely on appropriate safeguards such as standard contractual clauses.
15. Security
We use reasonable administrative, technical and physical safeguards, including TLS encryption in transit, access restricted to authorized personnel, and key-protected API access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and the authorities as the law requires.
16. Changes to this policy
We may update this policy from time to time. We will post the new version here and change the "last updated" date. If a change materially affects how we use personal information we already hold, we will give notice on the Site or by email before it takes effect.
